Booster Club Officer Transition Checklist

A complete booster-club handoff transfers access, authority, records, deadlines, money, vendor history, and open obligations. A list of passwords alone is not a transition.

Access and authority

  • Bank, payment platform, accounting, and card access

  • Email, website, social, and shared-drive access

  • State, tax, insurance, and school records as applicable

  • Authorized signer and administrator updates

  • Two-factor authentication and recovery

  • Key, storage, equipment-room, and mailbox access

Financial handoff

  • Current bank balance and reconciliation date

  • Approved budget and actual-versus-budget report

  • Restricted funds and donor conditions

  • Unpaid bills, deposits, refunds, and reimbursements

  • Open purchase orders and contracts

  • Filing, renewal, and insurance deadlines

Program and vendor handoff

  • Uniform styles, colors, art, and reorder instructions

  • Equipment inventory and reconditioning schedule

  • Vendor contacts, quotes, invoices, terms, and issue history

  • Team-store access, payouts, and open customer issues

  • Sponsor commitments and promised benefits

  • Fundraiser contracts and remaining deliverables

Calendar handoff

  • Tryouts and roster deadlines

  • Uniform and equipment order dates

  • First and last competition dates

  • Fundraisers and sponsor deadlines

  • Senior night, awards, banquet, and elections

  • Board meetings and school approvals

Complete the transfer

  • Create an open-items list with owner and due date

  • Hold a live walkthrough

  • Test every critical login

  • Confirm cash and obligation totals

  • Notify relevant parties of authority changes

  • Archive an acknowledged transition record
