For a fully custom uniform, starting 10 to 14 weeks before the first game is a sensible planning target. Stock garments with simple decoration may move faster, while complex custom programs, large rosters, or peak-season orders may need more time.
A practical backward timeline
14–12 weeks before: set budget, scope, colors, and approvers
12–10 weeks before: request options, pricing, and initial designs
10–8 weeks before: hold sizing, finalize roster, and choose product
8–6 weeks before: approve quote, art proof, roster, and payment or purchase order
6–2 weeks before: production, quality checks, shipping, and reconciliation
2 weeks before: distribute and resolve shortages or replacements
Add time when the order is complex
Multiple teams, age groups, or campuses
Custom cut-and-sew garments or specialty fabrics
Several approval layers
Uncertain roster or number assignments
Imported goods or peak-season demand

What can usually move faster
