The lowest quoted unit price is not always the lowest-cost equipment decision. Compare compliance, fit, expected life, replacement parts, availability, freight, service, and reorder risk.

Define the use first

  • Sport, age, competition level, and governing body

  • Game, practice, training, or field-maintenance use

  • Number of athletes and replacement assumption

  • Required certification, mark, material, or performance standard

  • Fit range and accessibility needs

  • In-hands date, storage, and distribution plan

Compare total program cost

  • Unit price and quantity breaks

  • Decoration, assembly, and setup

  • Freight and inside delivery

  • Replacement parts and consumables

  • Reconditioning, inspection, and maintenance

  • Expected useful life

  • Rush cost and stockout risk

  • Administrative time for claims and reorders

Questions worth asking

  • Is the recommendation based on program needs or one exclusive brand?

  • Is the item in stock, allocated, discontinued, or seasonal?

  • What is the current lead time?

  • What warranty and return limits apply?

  • How are defects and freight damage handled?

  • Will the vendor retain product and order history?

Protect the approval

For regulated or protective equipment, keep the rule, specification, product identifier, approval date, and decision owner with the purchase record.

  • Save manufacturer model and SKU

  • Record size and serial data where appropriate

  • Keep the current rule link

  • Document substitutions

  • Inspect goods promptly

Use a weighted score

Score compliance, fit, durability, availability, service, total cost, and reorder confidence. Treat mandatory safety and eligibility requirements as pass/fail.
